Style of poster presentation

Poster Presentation and Short Talk
  • Online (Zoom) poster presentations will be given on the 3rd day. Both English and Japanese are acceptable.
  • All participants can view the poster presentation data (downloading is prohibited).
  • Short talks by poster presenters will be held on-site on the first and second days. The presentation format is the same as a regular Flash Talk, but the presentation time will be relatively long (less than 3 minutes).
  • We also have the Short Talk Discussion session (30 minutes) after the Short Talk session. This is a time for free discussion with the students who presented in the Short Talk. You may leave early and go to lunch or dinner.

Preparation of Poster Presentation Data and Uploading to Confit
  • Please upload a one-page poster presentation data. An example is shown below. You may prepare your presentation in either portrait or landscape format.

  • The data size should be less than 10MB and in an image file format (JPEG, PNG, etc.). Please note that PDF files cannot be uploaded.
     
  • To upload your poster data, please click "Click here for poster upload system" below. To upload your poster, you will need to provide your presentation number and e-mail address. These information will be emailed to you by August 15.
  • For instructions on how to upload your poster to Confit, please refer to the "How to Upload a Poster" button below.
  • Please upload your poster presentation data to Confit by 12:00 p.m. on September 7 (meet deadline strictly). Presenters can replace their own presentation data on Confit until 12:00 p.m. on September 7.

Preparation of Short Talk Presentation Data and Uploading to the Confit Website (Only for students who wish to make a short talk presentation)
  • Slides must be no more than 5 pages including the cover page. Slides should be 4:3 screen ratio, 3 MB or less in size, and in PDF format. The presentation number should be indicated by a frame in the upper right corner of all pages. Please use standard Wondows OS fonts. If you use a Macintosh, please check your slides on a Windows PC. Slides for short talk presentations must be uploaded to the Confit submission system by 12:00 p.m. on September 7 (JST) (meet deadline strictly).
  • After clicking "Click Here the Confit Submission System" below, please log in with the account you registered at the time of submission and click "Click here to perform each procedure or update the information". Click the "Short Talk Slide File Submission" button and follow the on-screen instructions to upload your short talk presentation slides.

Zoom breakout room 
This feature allows you to split a Zoom meeting into separate rooms. Participants can move freely between breakout rooms.

 

Poster Presentation Format on Day 3 (September 12)
  • Poster presentations will be made using the breakout room feature of the Zoom meeting; a Zoom breakout room is a feature that splits the Zoom meeting into separate rooms. Participants can move freely between breakout rooms.
  • Zoom presentation materials should be prepared using Microsoft PowerPoint or Keynote. Please prepare your presentation file for the Zoom screen on a landscape (16:9 or 4:3) PC screen.
  • Presentations may be made by enlarging or reducing the poster materials, or by dividing the poster materials and displaying them in a PowerPoint or other presentation file.

  • Poster presentation numbers are registered as follows. Please see the program for presentation times.
  • Presenters are requested to turn on the video at all times. Questions and answers will basically be given orally, but may be entered in the chat box, so please check the chat box as well.
How to access Zoom link *Accessible from September 10 (JST)
  • Go to the time table from the 16th Symposium on Bio-related Chemistry HP. Enter Zoom by clicking the "Zoom Here" button displayed in the session you wish to attend. The following is a dummy example. 
 
  • The breakout room name is the lecture number.
  • The Zoom display name should be "Lecture Number" + "Name" + "(Affiliation)". Example: 1P-001_Taro Nagoya (Faculty of Engineering, Nagoya University)
  • Presenters are requested to turn on video at all times. Q&A sessions will basically be conducted orally, but may be typed in the chat box, so please check the chat box as well.
  • Poster award judging will be conducted in parallel with the poster presentation time. To ensure a smooth judging process, please provide a brief (5-10 minute) description of your research.
  • Please be sure to install the latest version of the Zoom desktop client. *The browser version (web client) may not be able to use all or some of the features of the breakout room.
  • It is recommended to test the operation of Zoom's microphone and video beforehand. (Zoom Meeting Test) http://zoom.us/test/
  • We recommend using a wired LAN connection or high-speed Wi-Fi for the Internet connection.
  • To prevent noise and feedback, we recommend the use of earphones with a microphone/a microphone/headset/external microphone/external pin microphone.
Notes to poster presentation participants
  • Zoom display name should be "Name" + "(Affiliation)". Inappropriate display may result in your participation being denied. Example: Taro Nagoya (Faculty of Engineering, Nagoya University)
  • Please turn on the video and microphone during the Q&A session and speak orally. Please return the microphone to mute mode when you have finished speaking.
  • Photography (including screen shots) and recording of the presentation screen is strictly prohibited. Poster materials will not be available for download. Screen shots are also prohibited.
  • The breakout room function may not work with older versions of Zoom for Meetings clients or browser versions (web clients). Please be sure to download the latest version of the Zoom for Meetings client from the following link and install it on your PC. Also, please use the latest version of the Zoom client from "zoom.us" -> "Check for Updates".

  • If you are participating from your institution, please check with your institution's IT department in advance to make sure that your PC and Internet connection are compliant with the Zoom support environment.

  • To reduce congestion on the network, please turn off the video before moving between the main session and the breakout room, or between the breakout rooms.
  • There will be a 10-minute break between each poster session. Because we need to set up the next session during break time, please finish poster presentations on time.
  • In order to avoid overloading the network due to entry into the zoom rooms at the start of each session simultaneously, only the presenters should enter the room during the break time, and the audiences should enter the room after the scheduled time.
  • If you are participating from your own institution, please check with your institution's IT department beforehand to ensure that the PC and Internet you will be using are compliant with the Zoom support environment.
How to make Short Talk on Day 1 (September 10) and Day 2 (September 11)
  • The presentation files for all session presenters will be compiled into one file (PDF) in the order of their presentations. This file will be stored in the venue's computer. The PDF presentation software is Adobe Acrobat Reader.
  • Please take your seat in the "Next Speaker's Seat #5" at the front of the hall, five lectures before your presentation. After each presentation, please move from seat #5 to #4, #3, #2, #1, and so on. The next speaker's seat #1 is located on the stage.
  • When it is time for your presentation, please move to the lectern as soon as possible and display the first page of your presentation slide to start your presentation.
  • Presentation time is 3 minutes including the changeover time. There will be no Q&A session. A bell will alert you when 3 minutes have elapsed. Please end your presentation immediately if the bell rings. Please limit your presentation time to 2 minutes and 30 seconds.
  • If there is no presenter at the next presenter's table, the chairperson will announce twice whether the presenter is in the room or not. If there is no presenter after two announcements, the next presenter's presentation time will be moved up.
