Presentation

Presentation guidelines (Oral and Poster presentations)

Please follow the guidelines below for the presentation.

Oral presentation:

 ・ Please prepare your PowerPoint slide presentation in landscape format with an aspect ratio of 16:9 widescreen.

 ・ Please use conference-provided computers to minimize changeover time.  A Windows PC is available in each presentation room.  Please bring a copy of your presentation material on your own USB flash drive (USB memory stick).  Please copy your presentation material using the USB ・flash drive to the designated folder in the PC provided during the break preceding your session.  (Well before your session is preferred.)  Your copied presentation material will be deleted by the conference staff after the session.

 ・ The conference rooms will be opened at 12:30 on May 7 (Tue) and at 8:30 from May 8 (Wed) to 10 (Fri).

・ If your presentation includes videos or animations, please make sure they work properly by checking them at the PC Check Room (Room No. 1010) on the 10th floor well ahead of your session.

・ Please arrive at your session at least 10 minutes before the session begins.  (If you haven’t copied the presentation material to the PC provided in an earlier break, please come at the beginning of the break before the session.)  Please contact the chair of your session before the start to let the chair know that you are present in the conference room.

・ In the session, please ensure to choose a seat near the stage for easy access to the stage to save time for changeover.

・ Each oral presentation will last 12 minutes, including 9 minutes for the presentation and 3 minutes for Q&A.  Chairs will enforce the scheduled timing and may stop the presentation if you exceed the allocated time.

Poster presentation:

 ・ The poster board size is 900 mm in width and 2100 mm in height.  Please prepare an A0 size Portrait (W841 x H1189 mm) poster and bring it to the conference.  No printing services will be provided by the conference organizers.

・ There are two poster sessions.  Both take place in Room C (Room No. 1006-1007) on the 10th floor.  For those making a presentation in Poster Session 1 on May 8 (Wed), please display your poster on the poster board provided during the period from 15:30 to 17:30 on May 7 (Tue), at least before the coffee break in the morning on May 8 (Wed).  For those making a presentation in Poster Session 2 on May 9 (Thu), please display your poster on the poster board provided during the period from 16:30 to 17:30 on May 8 (Wed), at least before the coffee break in the morning on May 9 (Wed).  The room will be opened at 8:30 on May 8 (Wed) and 9 (Thu).

・ Your assigned poster number will be displayed on the poster board.  Mounting pins will be provided for displaying your poster.  Use of the scotch tape is not allowed.

・ The core times will be coffee breaks (10:30-11:00, 15:00-15:30) on the day of your poster presentation.  You are expected to be present in front of the poster during the core times to discuss the work presented.

 ・ Please remove your poster by 16:30 on the day of your presentation.  Posters that have not been removed will be collected and stored at the PC Check Room (Rm 1010) on the 10th floor.  Please note that posters not picked by noon on May 10 (Fri) will be disposed.
