Information for Speakers, Presenters and Chairs

 
Special Lectures, Award Lectures, Symposia, etc.
  • The PowerPoint screen of the presenter's PC will be shared with the Zoom Meeting, and the shared screen will be projected from the PC at the presentation venue using an LCD projector.

  • Speakers are requested to bring their own PCs that can be used for Zoom Meeting presentations, and to arrive at each presentation venue at least 10 minutes before the start of the presentation session to enter the Zoom Meeting room. Speakers are also welcome to bring their presentation files on a USB flash drive.

  • Wireless LAN access will be provided to the presenters at each presentation venue. Access information will be announced shortly.

  • Please bring a USB flash drive containing your PowerPoint file as a backup in case of any problems.

  • The file name should be "presentation number_presenter's name.pptx".

  • Please note the following points when you bring your PC.

(a) Please bring an AC adapter.
(b) Please deactivate the screen saver, power-saving setting, and password setting of your PC in advance.
 

General Session (Oral presentation)
(1) Schedule and Presentation Times

(a) Oral presentations will be held on March 26 (Sun.), 27 (Mon.), and 28 (Tue.) at Hokkaido University.

(b) The duration of the oral presentations is 9 minutes for talks and 3 minutes for discussions (including the speaker change time).

(2) Presentation outline
  • Presentations will be made digitally by sharing the PowerPoint screen of the PC prepared by the Organizing Committee via the Zoom Meeting and projecting the shared screen to the audience using an LCD projector.

  • Presenters are requested to bring a USB flash drive containing the PowerPoint file and to arrive at the "PC Reception Desk" at each venue 50 minutes before the start of the presentation session (30 minutes before in the early morning). Please note that the "PC Reception Desk" at the Faculty of Health Sciences venue is located in the Faculty of Pharmaceutical Sciences. Please be sure to come to the “PC Reception Desk” to check your presentation data, and confirm how to operate venue PC.

  • Windows PCs (compatible with Windows 10, PowerPoint 2013, 2016,2019) will be provided at the presentation venue. If you have made a presentation file on Macintosh, please make sure to check the display on Windows PC at the "PC Reception Desk".

  • Slide size should be horizontal 4:3 or 16:9.

  • The maximum data size is 640 MB, and fonts should be those that come standard with the operating system (Windows 10).

  • The file name should be "presentation-number_presenter's name.pptx".
General Session (Poster presentation)

(1) Schedule and Presentation Times

(a) Poster presentations will be held on March 26 (Sun.), 27 (Mon.) and 28 (Tue.) in the Gymnasium (general posters), Frontier Research in Applied Sciences Building (Interdisciplinary Sessions: Themes 1 and 3) and Institute for the Advancement of Higher Education (Interdisciplinary Session: Theme 2). Please refer to the presentation number and the schedule for the presentation dates.

(b) Posters must be displayed at the designated time. The presentation time differs depending on whether the presentation number is odd or even. Please refer to the schedule for the presentation time.

(c) Posters must be removed after the presentation time and before the end of the poster display time. The Organizing Committee will dispose of posters that are not removed after the removal time.


(2) Poster submission procedures

(a) Please indicate your presentation number on the upper left of your poster as shown in the figure below. If your poster is eligible for the poster presentation award, please write your presentation number in red.

(b) Write the title, affiliation, and name of the presenter in column A, and the content of the presentation (A0 size) in column B. Please refer to the poster preparation manual poster preparation manual and use the template (paper size: 90 cm × 140 cm) for poster preparation. You can also add information to the web version (PDF file for the poster presentation) for the paper poster to be displayed on the day of the symposium.

(c) Presenters are required to display their posters at the poster room using the pushpins provided. Please be sure to wear the presenter's ribbon when you present your poster.

(d) Posters must be removed promptly before the end of the poster display time. Please return the pins and ribbons to the designated place.

(3) Creation of posters for display on the web site

(a) PDF files of all poster presentations will be made available to registered participants for viewing on the special web site from March 16 (Thu.) noon to March 31 (Fri.) noon.

(b) For information on how to create a PDF file of your poster for posting on the special web site, please click here.

(c) A Q&A session is available on the web site using the comment function. After the comments are entered, an e-mail notifying the comment entry will be sent to the presenter, and the presenter is requested to respond to it.

(e) If you do not plan to attend the meeting on-site, please send your poster to the meeting secretariat for display on the day of your presentation.

Disclosure of Conflicts of Interest
